2. Scope of this policy

This policy applies to information collected through jordan-valley.com, congress pages managed by Jordan Valley, registration and abstract-submission forms, payment enquiries, proposal and contact forms, and related communications.

A medical society, association or other event owner may also act as a separate data controller for an event. Where that applies, its own privacy notice may also govern how participant information is used.

3. Information we collect

Depending on how you use the website or participate in an event, we may collect:

  • Identity and contact information, including your name, title, email address, telephone number, country and address.
  • Professional information, such as your organization, role, specialty, institution and professional membership.
  • Event information, including registrations, selected sessions, accommodation requests, attendance, certificates and correspondence.
  • Payment records, including the amount, currency, payment method, transaction reference and payment status. Card details are handled by the payment provider and are not intended to be stored on Jordan Valley's website.
  • Scientific submissions, including abstracts, author details, affiliations, files and review outcomes.
  • Identification information where an event or applicable requirement makes it necessary, such as a Jordanian national number. Access to this information is restricted.
  • Messages, proposal details, feedback and any documents you choose to send us.
  • Technical information such as IP address, browser and device type, visited pages, security logs and cookie data.

4. How we use information

We use personal information where necessary to:

  • Process registrations, abstracts, payments, accommodation and other event requests.
  • Provide event information, confirmations, updates, certificates and delegate support.
  • Coordinate with event owners, scientific committees, venues, hotels, speakers, sponsors and service providers.
  • Respond to enquiries and prepare proposals for organizations considering our services.
  • Maintain the security, reliability and performance of the website and event systems.
  • Keep financial, attendance and operational records and comply with legal obligations.
  • Send relevant event or company updates where you have requested them or where otherwise permitted. You may opt out of marketing communications at any time.

Where applicable, we rely on performance of a contract, legal obligations, consent, and our legitimate interests in operating secure and professionally managed events.

5. When information is shared

We share only what is reasonably necessary with organizations involved in delivering the relevant service. These may include:

  • The society, association, institution or company that owns or commissions the event.
  • Scientific and organizing committees reviewing submissions or managing the program.
  • Payment processors, banks and financial-service providers.
  • Venues, hotels, travel providers, production suppliers and other event contractors.
  • Website hosting, storage, email, security and technical-service providers.
  • Public authorities or professional advisers where disclosure is required by law or necessary to protect legal rights.

We do not sell personal information.

6. International services and transfers

Jordan Valley manages events in Jordan and internationally and may use service providers located in other countries. Where information is transferred, we take reasonable steps to use appropriate contractual, organizational and technical safeguards.

7. How long information is kept

We retain information only for as long as it is needed for the event or service, financial and legal record-keeping, dispute handling, security and legitimate operational requirements. Retention periods vary by record type and by the requirements of the event owner. Information that is no longer required is deleted, anonymized or securely archived.

8. Security

We use reasonable administrative, technical and organizational measures to protect information against unauthorized access, alteration, loss or disclosure. No website or electronic transmission can be guaranteed completely secure, so please avoid sending unnecessary sensitive information by ordinary email.

9. Your choices and rights

Subject to applicable law and any obligations that require us to keep a record, you may ask us to:

  • Confirm whether we hold personal information about you.
  • Provide access to or correct inaccurate information.
  • Delete information that is no longer required.
  • Restrict or object to certain uses of your information.
  • Withdraw consent where processing is based on consent.
  • Stop receiving marketing communications.

Send requests to info@jordan-valley.com. We may need to verify your identity before completing a request.

10. Cookies and website analytics

The website may use essential cookies needed for navigation, security, forms and language preferences.

To understand how the website is used, it counts visits with Vercel Web Analytics. It does not use cookies or build a profile of you: it records which pages are viewed, the referring website, and the country, browser and type of device, and visitors can't be identified from one day to the next. The results are only seen as totals.

11. Children

The website and professional congress services are not directed to children. If an event accepts a participant who is legally a minor, information should be provided by or with the authorization of a parent, guardian or responsible institution.

13. Updates and contact

We may update this policy when our services, systems or legal obligations change. The latest version will be published on this page with its revision date.
